Vanguard Digital Solutions Pty Ltd (ABN 41 695 249 793) ("we", "us", "our") is committed to protecting the privacy of personal information we collect. This policy explains how we handle personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

When you contact us through our website or engage our services, we may collect the following personal information:

  • Discovery calls and meetings
  • Phone enquiries
  • Meta Lead Forms on Facebook and Instagram (when you submit a lead form in response to our ads)
  • Cal.com booking forms (when you schedule a call with us)

How We Use Your Information

We use the personal information we collect to:

  • Respond to your enquiry or request for a strategy call
  • Provide you with a quote or proposal for our services
  • Deliver the services you have engaged us to provide
  • Communicate with you about your project
  • Schedule and confirm appointments via Cal.com
  • Contact you via our AI voice agent regarding your enquiry, where you have opted in to receive such calls
  • Send you relevant updates about our services (only with your consent)

We do not use your personal information for any purpose other than those outlined above without your consent.

How We Store and Protect Your Information

We take reasonable steps to protect the personal information we hold from misuse, interference, loss, unauthorised access, modification, or disclosure. Your information is stored in secure, access-controlled systems. We use encrypted connections (HTTPS) on our website and access controls on all internal tools and databases.

We retain your personal information only for as long as it is needed to fulfil the purposes for which it was collected, or as required by law. For lead enquiries that do not result in an engagement, we retain personal information for up to 24 months from the date of last contact, after which it is securely deleted unless you request earlier deletion.

Third Parties

We do not sell, rent, or trade your personal information to any third party. We do not share your information with third parties except where necessary to deliver our services to you (for example, integrating with your CRM as part of a project you have engaged us for), or where required by law.

We use the following named third-party services to collect or process personal information:

  • Meta Platforms Inc. (Facebook and Instagram): When you submit a lead form through our advertising on Facebook or Instagram, your information is collected via Meta's Lead Ads platform and transferred to us. Meta's handling of this data is governed by Meta's own privacy policy (https://www.facebook.com/privacy/policy).
  • Cal.com: When you book a strategy call with us, Cal.com processes your scheduling information (name, email, date, time, timezone). Cal.com's handling of this data is governed by Cal.com's privacy policy (https://cal.com/privacy).
  • AI voice technology providers: When you opt in to receive a call from our AI voice agent, your name and phone number are processed by third-party AI voice technology providers to facilitate the call. Call audio, transcripts, and related data may be processed and temporarily stored by these providers solely to deliver the call you requested. These providers are bound by confidentiality and data protection obligations.

Our website uses Vercel Analytics, which collects anonymous, aggregated usage data. No personally identifiable information is collected by our analytics.

Meta Lead Ads

We run advertising campaigns on Facebook and Instagram using Meta's Lead Ads format. When you submit a lead form on these platforms, the information you provide is collected by Meta and shared with us. We use this information solely for the purpose stated in the relevant ad — typically to contact you regarding our services, schedule a consultation, or respond to your enquiry. We do not use lead form data for any other purpose without your express consent. By submitting a Meta lead form, you acknowledge that your information will be governed by this Privacy Policy.

AI Voice Agent Calls

Where you have opted in via our lead form, you may receive a call from our AI-powered voice agent. We disclose the following:

  • The call is made by an artificial intelligence system, not a human. Our AI voice agent will identify itself as an AI at the start of the call.
  • The call is made because you provided express consent on our lead form to receive an AI-generated call.
  • During the call, your voice and responses may be recorded and transcribed for the purpose of delivering the call, quality assurance, record-keeping, and improving our service.
  • You can end the call at any time and request that we do not call you again by emailing admin@vanguard-digital.com.au or replying STOP to any follow-up SMS.
  • If you would prefer to speak with a human, you can email or message us directly.

Voice data and call recordings are retained for up to 12 months for quality and record-keeping purposes, after which they are deleted unless required to be retained for legal reasons.

Voice Data

During AI voice agent calls, we collect audio recordings of your voice and AI-generated transcripts of the conversation. We collect this information only with your express consent (provided when you opt in via our lead form) and use it solely to deliver the requested call, maintain records, and improve service quality.

Opting Out of Communications

You may opt out of any future communications at any time by:

  • Replying STOP to any SMS message
  • Telling our AI voice agent to remove your number during a call
  • Emailing admin@vanguard-digital.com.au with 'OPT OUT' in the subject line

Opt-out requests will be actioned within a reasonable timeframe.

Cookies and Website Data

Our website may use essential cookies to ensure the site functions correctly. We do not use tracking cookies or third-party advertising cookies.

Access and Correction

You have the right to request access to the personal information we hold about you. You also have the right to request that we correct any information that is inaccurate, out of date, incomplete, or misleading.

To make a request, contact us at the email address below. We will respond to your request within a reasonable timeframe.

Complaints

If you believe we have breached the Australian Privacy Principles, you may lodge a complaint with us at the email address below. We will investigate your complaint and respond within 30 days.
